Part 1: Calendar – Trips View

Purpose

The Trips Calendar view in Horizon provides an overview of all active, scheduled, requested, and completed trips for the organization. It enables scheduling teams to visualize trip timelines, identify potential conflicts, and track trip progression from request through completion.

Accessing the Trips Calendar

  1. From the Horizon main navigation bar, go to Calendar.

  2. Hover over the dropdown menu and select Trips.



Overview of the Trips Calendar Page

The Trips Calendar displays trip schedules organized by account, client, or trip grouping. Each row represents a trip or client, with date columns showing when flight legs occur.

Main Components


Search BarLocated at the top left; allows users to search by Trip ID, account, or keyword.
Date SelectorClick the calendar icon or arrows to adjust the visible date range.
View ControlsChoose between 3-Day, 5-Day, Week, 2-Week, or Month view for timeline display.
Time Display OptionsToggle between UTC and Local time zones.
Legend (top right)Explains color coding for trip statuses (Scheduled, Requested, Completed, etc.).
Trip List (Left Column)Displays each trip by client or account (e.g., Portside – Crazy Things, KS Skies – Charter). Each trip is grouped by Trip ID.
Trip Blocks (Center Grid)Each colored block represents a trip leg or series of flights scheduled for that trip ID. Hovering shows trip details.

Color Coding and Status Indicators

GreenScheduled / ConfirmedIndicates active scheduled trip segments.
OrangeRequested / PendingShows trip legs awaiting confirmation.
GrayCompleted / ArchivedTrip has been flown and logged.
Red (if shown)Cancelled / InactiveIndicates a cancelled or invalidated trip.

Example 

In the provided example for June 2025:

  • Multiple trips are listed under client groups like Portside – Crazy Things and KS Skies – Charter.

  • Each row displays trip blocks corresponding to individual trip IDs.

  • Example trips:

    • 1056-1 (Green): Scheduled leg on June 3 from KOLT → KSHA.

    • 1056-2 (Orange): Scheduled leg on June 5 from KSNA → KATL.

    • 1074-1 and 1074-2 (Orange): Sequential legs for Portside between CYVC–CYVZ and CYVZ–CYVR.

    • 1069 Series (Gray): Completed trips for KS Skies – Charter, showing historical flights.


Best Uses of the Trips View

  • View all trips by client or program at a glance.

  • Identify overlapping or sequential trip series for the same client.

  • Quickly access trip details by clicking on any trip block.

  • Use for high-level operational planning, client coordination, and dispatch tracking.


Tips

  • Hover over a trip block to preview details (route, times, trip number, and leg count).

  • Use Week or 2-Week view for operational clarity.

  • Apply the Local timezone option for client-facing scheduling, and UTC for operational dispatch.


Part 2: Trip Details Card (Trip Breakdown View)

Purpose

The Trip Details Card provides a detailed breakdown of a selected trip, including routing, flight log times, aircraft assignment, crew information, and trip-level metadata. It’s used by operations and dispatch teams to review, edit, or validate trip data.


Accessing the Trip Details Card

  1. From the Trips Calendar, click on any trip block (e.g., 1056-3 Portside).

  2. The Trip Details Card window will open with complete trip and flight leg information.

Overview of the Trip Details Card Layout


Trip HeaderDisplays action buttons including Edit Trip, New Trip, Edit Flight, and Edit Ac Flights. Also shows current Trip Status (e.g., Scheduled).
Requester / Account InformationLists Trip ID, Account, Contract, Description, and Aircraft type assigned to the trip.
Route Overview (Left to Right)Shows route line from Departure (KCLT) to Arrival (KCHO) with airports, times, and duration (e.g., 0h 42m).
Flight Log TableDisplays “Out”, “Off”, “On”, and “In” times for the flight with automatic Taxi, Flight Time (FT), and Block Time (BT) calculations.
Leg SummaryIndicates leg number (e.g., Leg 3), total miles, and fuel stop count.
Departure SectionLists departure airport (KCLT) and FBO handling information.
Arrival SectionLists arrival airport (KCHO) and FBO handling information. If “Needed,” indicates missing vendor or service record.
Crew SectionLists assigned pilots with position and contact details (e.g., PIC and SIC).
Passengers SectionDisplays manifest data if passengers are assigned (blank if none).

Trip Card Functions and Actions

Edit TripOpens editable fields for trip-level data (account, contract, description).
New TripCreate a new trip directly from this screen.
Edit Flight / Edit Ac FlightsModify flight leg details or aircraft assignment.
Sync Legs ↔ FlightsEnsures trip and leg data are synchronized between modules.
Trip Status ButtonDisplays current trip status (e.g., Scheduled, Confirmed, Completed). Can be updated as needed.

Additional Data Points

  • Miles: Displays calculated flight distance for the selected leg.

  • Fuel Stop: Indicates the number of planned fuel stops (if applicable).

  • TZ Offset: Shows timezone offset between departure and arrival airports.

  • Alerts: Displays system or scheduling warnings (e.g., missing fuel vendor, incomplete log times).


Use Cases

  • Review or confirm operational data before flight release.

  • Update crew, passenger, or fuel information post-flight.

  • Verify time entries and sync flight logs for reporting and billing accuracy.

  • Identify incomplete trip data flagged by “Needed” alerts (e.g., missing FBO).
