Setting Up Flight-Following Notifications in Horizon

Flight-following notifications automate communication by sending departure and arrival updates to specific users. This guide covers how to set up the notification group, assign it to a user, and trigger the notifications manually or via flight data. See Video below which will demonstrate this process.



1. Create a "Flight Following" Group Type

Before you can assign notifications to a person, you must ensure the system recognizes them as part of a flight-following group.

  1. Navigate to System in the top navigation bar.

  2. Select Person from the dropdown, then click on Group Type.

  3. Click + Add Group Type.

  4. Set the System Type to FlightFollowing.

  5. Give it a Description (e.g., "Flight Following Notifications").

  6. Select a Category (e.g., "Pax" or "Admin") and click Save.

2. Assign the Group to a User Profile

Once the group type is created, you need to link it to the specific individual who should receive the updates.

  1. Go to the People tab and search for the desired user profile.

  2. Click Edit on their profile.

  3. Scroll down to the Groups section and select the FlightFollowing group you just created.

  4. Ensure the user has a valid Email Address saved in their contact records.

  5. Click Save.

Notifications are triggered based on the user's association with specific entities. You can link a user in three ways:

  • Account: The user receives notifications for every flight associated with a specific client account.

  • Aircraft: The user receives notifications every time a specific tail number flies.

  • Trip: The user can be added manually to a specific trip under the Persons section of the trip details.

4. Triggering Notifications

Notifications are usually triggered automatically by flight-following data, but they can be entered manually for testing or manual overrides.

  1. Navigate to the Trips tab and select your trip.

  2. Go to the Integrations section under the specific flight leg.

  3. Locate the Flight Tracking area.

  4. For Departure: Enter the Off time. Once saved, a "Departure" email is sent containing:

  • Aircraft type and tail number.

  • Estimated time en route and distance.

  • Departure airport, FBO details, and contact info.

  1. For Arrival: Enter the On time. This triggers the "Arrival" email, which includes:

  • Actual arrival time.

  • Arrival airport and FBO details.
