Services Module

Overview

The Services module displays a list of all service requests scheduled within a specified date range. It provides visibility into:

  • Service due dates

  • Vendor assignments

  • Linked flight legs

  • Service type and status

  • Cost and confirmation details

This page consolidates operational support activities (such as FBO, catering, and ground transport) across trips.




From the top menu bar, select:
Home → Services

You will be taken to the Service Orders dashboard, where you can search, filter, and manage all service entries. Note: Most Portside Horizon data tables — including those under Services, Trips, and Expenses — use a dynamic grid layout that supports column customization. You can drag and drop column headers to group, sort, or rearrange information for easier viewing. This feature helps streamline workflow visibility, especially when managing multiple records or vendors.  More information on this functionality can be found here.



Page Layout and Features

Located at the top of the screen:

  • Use the date pickers (e.g., 10/01/25 → 10/31/25) to define your reporting period.

  • Enter a Trip Number (e.g., 123, 532, 3532, 2343) in the search bar to narrow results to specific trips.

  • Click the refresh icon (⟳) to reload updated results.

Tip: Narrowing by trip number is the fastest way to locate a specific flight’s services.



2. Filters (Left Sidebar)

You can refine visible service records using any of the available filters:

  • Account / Aircraft / Aircraft Model

  • Airports (departure or arrival)

  • Assigned To (user responsible)

  • Flight Status / Mission / Trip Status / Trip Type

  • Service for Pax or Crew

  • Service Status (e.g., pending, confirmed, complete)

  • Service Type (e.g., FBO, Catering, Transport)

Click Apply / Refresh to update your list.
Click Clear All to reset all filters.



3. Service Records Table

The main content area displays service records sorted by Date, Type, and Vendor.

Each record shows:

  • Date / Due Date – When the service is required

  • Type – Service category (e.g., FBO - Dep KSNA)

  • Leg – Clickable link (e.g., 1155-02 / KSNA-KBFI) to open the associated trip leg

  • Vendor – Linked vendor profile (e.g., ACI Jet - North)

  • Assigned – Displays who owns the task internally

  • Email and Trash Icons (✉ / 🗑) – Quick-send service request or delete entry

Expand a service entry by clicking the “+” sign.



4. Expanded Service Details

When expanded, a service record displays:

  • Order #

  • Confirmation #

  • Due Date / Start Date / End Date (Local)

  • Cost

  • Handling Request / Special Notes

  • Search Panel for notes or updates

  • Priority and Note Filters

Use this section to update service timing, add vendor confirmations, or log costs.



5. Adding or Managing Services

To add a new service:

  1. Click the “+” button next to the date or an existing service.

  2. Choose the appropriate Service Type (e.g., Catering, Transport).

  3. Link it to the correct Trip Leg.

  4. Assign a Vendor and fill in Due Date, Start/End Time, and Cost if known.

  5. Click Save or Send (✉) to notify the vendor.

To delete a service, click the Trash (🗑) icon.


Example Use Case

You’re planning a multi-leg trip (KSNA → KPHL → KDAL → KBTR).
From the Services tab:

  • Filter by Trip Number 1162.

  • Review all legs (e.g., 1162-01 KSNA-KPHL, 1162-02 KPHL-KDAL).

  • Confirm FBO and Ground Transport services with vendors.

  • Add catering orders as needed.

  • Record confirmation numbers and vendor replies directly in the service entry.


Best Practices

  • Always verify time zones (local vs. UTC) for due dates.

  • Keep confirmation numbers and vendor contacts up to date.

  • Use the Priority flag for critical handling services (e.g., customs, security, late-night ops).

  • Regularly filter by “Service Status: Pending” to identify unconfirmed or overdue items.

  • Send service requests directly via the email icon to maintain traceability.
